Automatic invoices
Issue an invoice for every paid order and renewal through Fakturownia, wFirma, iFirma, inFakt or ING Księgowość, control it per offer, and fix issuance errors.
With an invoicing provider connected, Zanfia issues an invoice for every paid order, including subscription renewals, sends it to the buyer, and shows its state next to the order in Transactions.
Connect an invoicing provider
In the left sidebar choose Integrations, then the Invoices tab (/integrations/invoices).
Connect Fakturownia, wFirma, iFirma, inFakt or ING Księgowość with the API key
from your provider account; each field has a Where do I find this? hint. Stripe invoicing
is also listed: it issues invoices on your connected Stripe account for orders paid through Stripe
only. Connection steps for each provider: Connect an invoicing
system.
Set the workspace default account
When more than one account is connected, mark one as Default. The confirmation explains: "Checkouts without their own invoicing setting will start issuing invoices with this account." Removing the default has the opposite effect: those checkouts stop issuing invoices.
Adjust the offer's invoicing settings (optional)
Open the offer in Checkouts (/checkouts) and find the Invoicing section ("Invoice
defaults"). You can pick a different Invoicing account for this offer, tick Don't issue
invoices, Issue a receipt when the buyer opts out of an invoice (not supported by inFakt and
ING Księgowość) and Don't email the invoice to the buyer. Under Invoice email you can
write your own email subject and body; this applies to wFirma, iFirma and ING Księgowość, while
Fakturownia and inFakt send their own email template.
Decide what the buyer fills in
By default the checkout asks for Invoice details. To show a shorter form, enable Hide billing fields (invoice on request) in the offer's Form & UX tab: "Customers see a compact form and tick "I want an invoice" to reveal billing fields." A buyer who opts out gets a receipt when step 3 allows it, otherwise no document.
Name the invoice line (optional)
In the price form, Payments tab, switch on Custom invoice line name and enter the Invoice line name (for example "Course access - annual"). It replaces the price's display name on the invoice, on renewals too.
Good to know
Free orders and test orders never produce an invoice. The document language follows the product's language, with the offer's language as the fallback. A refund does not correct the invoice for you: "Remember that if you have issued an invoice for this order, you must manually correct it."
The Invoice column in Transactions
Open Transactions (/orders). Each order has an Invoice column with one of these states and, when a document exists, its number:
| State | Meaning | What to do |
|---|---|---|
| Issued | The provider issued the invoice | Nothing; the number links to the document |
| Not sent | Issued, but emailing it to the buyer failed | Use the gear icon, Retry invoice sending |
| Issue error | The provider refused the document (for example invalid contractor data), or several invoicing accounts are connected and none is selected for this checkout or as the default | Use the gear icon, Edit and retry invoice issue: fix the buyer's billing data (or Use default invoice profile) and issue again |
| None | No invoice: a free order, an order fully covered by a 100% code, a test order, the offer opted out, or no account is connected | Use the gear icon, Issue invoice, to issue one by hand |
The Status filter narrows the list to orders with, without, or with a failed invoice. Failed issuances also appear in the attention panel at the top of Transactions as Invoices · issuance failed with a Retry action, and you receive "⚠️ Error when issuing invoice [product]" by email.
Buyer invoice details
The buyer's company name, tax id and address are stored on their customer profile as Invoice data and reused for every renewal. You can edit them from the customer profile (Invoice data) or when issuing an invoice by hand.
Manual (wire-transfer) orders
For an order paid by bank transfer, the invoice is issued only when you tick the invoice option while approving the order in Transactions; the workspace's connected invoicing account is used.
