Tags and segments
Create tags, put them on clients, and build saved segments from conditions such as tags, product access, spend, email subscription and recent activity.
A tag is a label you put on a client. A segment is a saved set of conditions that always returns the clients who match right now. When you finish, you will have labeled clients and a reusable audience you can open in the client list or choose as the audience of a campaign.
Tags and segments compared
| Tag | Segment | |
|---|---|---|
| What it is | A label stored on the client | A saved filter; nothing is stored on the client |
| Who is in it | Whoever was given the tag, by hand, by an import, a form or an automation | Whoever meets all conditions at the moment you look or send |
| Changes over time | Only when the tag is added or removed | By itself, as clients buy, lose access, subscribe or stop engaging |
| Where you manage it | Customers → Tags (/customers/tags) | Customers → Segments (/customers/segments) |
Create and manage tags
Open the tag list
Open Customers and click the Tags pill next to the page title (/customers/tags). The
table lists every tag as a colored chip. An empty list says "No tags yet. Create one above to
start labeling customers."
Add a tag
Click New tag, type the Name (up to 50 characters), optionally choose a Color, and click Add. A name that already exists is refused with "A tag with this name already exists."
Rename, recolor or delete
The pencil icon opens Edit tag. Renaming keeps the tag on every client who has it. The trash icon asks Delete this tag? and warns "It will be removed from every customer that carries it."; afterwards you see how many clients were untagged. The people icon, Show clients, opens the client list filtered to that tag.
Put tags on clients
| Where | How |
|---|---|
| One client | Client profile, Profile tab, Tags: click the plus and pick a tag. Typing a new name creates the tag immediately. |
| Many clients | Client list, tick rows or filter, then Edit tags. See Bulk actions on clients. |
| During an import | Tag imported contacts in the import window. See Add, import and export clients. |
In the client list each row shows up to three tag chips under the name and folds the rest into a "+N" chip. Tags can also be added by signup forms, free checkouts and automations; those are described in Email and campaigns.
Build a segment
Open Segments
In the sidebar open Customers → Segments (/customers/segments) and click New segment. An
empty list explains: "A segment is a saved audience - e.g. everyone with access to a course - you
can reuse for campaigns."
Start from a preset (optional)
Under Start from a preset you can pick Buyers of a product, Opted in, not bought, All buyers or Engaged in the last 30 days. A preset only fills in the conditions below; you can change them before saving. Presets that need it ask for a Product and, for Opted in, not bought, the Opt-in tag that your signup form or free checkout adds.
Name it and set the conditions
Type the Segment name (up to 80 characters). Under Conditions (all must match) each row has a field, an operator and a value; Add condition adds a row, up to 10. The fields are listed in the table below.
Check the count and save
The bottom-left corner of the window shows "approx. N recipients" with the note "subscribed to e-mail only, like at send time": it counts the clients a campaign to this segment would reach. On a very large list it may read "over N recipients". Click Save. A duplicate name is refused with "A segment with this name already exists."
Condition fields
| Field | Operators | Value |
|---|---|---|
| Tag | has, does not have | One or more tags (up to 10). With several tags the row matches clients who have at least one of them, or none of them. |
| Product access | has access to, has no access to | One product. Access through a bundle counts unless you tick Direct access only (no bundles). |
| Total spent | at least, at most | An amount |
| Email subscription | is | Subscribed, Unsubscribed or Pending (double opt-in) |
| Last email engagement | in the last, not in the last | A number of days |
| Last order | in the last, not in the last | A number of days |
| SMS consent | is | Consented, Opted out or Never asked |
| Phone number | on file, missing | No value |
Use a segment
The segment table shows each segment's conditions, the Recipients count ("approx. N", with "of N matching" when some matching clients are not subscribed, and the time it was last calculated) and when it was Updated. From a row you can open Show clients (the client list filtered to the segment, where bulk actions and export apply to it), edit the segment, or delete it. In the client list the same segment can be picked in Filter → Segment. Sending a campaign to a segment is covered in Send an email campaign.
Good to know
Deleting a segment never touches the clients: "Customers keep their tags - only the saved audience goes away." A segment that is still the audience of a draft or scheduled campaign cannot be deleted until you change that campaign's audience. The product filter in the client list counts direct access only, while a segment's Product access condition also counts bundles by default, so the two numbers can differ.
