Run a webinar funnel

Create a webinar with a registration page and a webinar room, choose whether it runs live, automated or on demand, add the recording and show an offer button during the broadcast.

A webinar funnel is a set of pages that belong together: a registration page with a signup form, a thank-you page and a webinar room where registrants watch. When you finish, you will have a published registration page, a room that plays your stream or recording at the right moment, and e-mails that bring registrants back.

The three ways to run it

How it runsWhat registrants experienceWhat you provide
LiveYou run the stream yourself (YouTube, Zoom and the like). The room shows it at the scheduled time and the recording afterwards.A date, a Live stream / meeting link, optionally a recording after the event
AutomatedAt the scheduled time the room plays the recording by itself: everyone sees the same moment, no pause or seeking, latecomers join in the middle. Before the start there is a countdown.A date and a recording from the Media Library
On demandThe recording plays right after signup. There is no date and no thank-you page: the signup lands in the room.A recording from the Media Library

Create the webinar

1

Start from the Webinar template

Go to Your site → Pages & Funnels (/sites/pages), click New page or funnel, choose Build a funnel and on the Webinar card click Use template. Pick the Product and under Webinar choose Live, on a date or On demand (recording). For a dated webinar set Start, Time zone and Length (minutes). Click Create funnel. The registration step builds the whole family: registration, thank-you and webinar-room pages, the signup form, the confirmation e-mail and the reminders.

2

Open the Webinar tab

When the pages are written, open the registration page in the editor. The left panel has three tabs for the family: Webinar (the event), Form (the signup) and Funnel (the pages and e-mails). On Webinar, the Event section answers three questions: when it happens, how it is run and which offer is shown. Each row has a Change button.

3

Set the date

Change next to the date opens Webinar date. The time is in your time zone. The room, the countdown and the calendar links follow at once, and reminder e-mails that were not sent yet move with the date, including the date written in their copy. E-mails already sent stay as they are.

4

Choose how it is run

Change on the second row opens How it is run. For Live, paste the Live stream / meeting link; without it registrants see the room page without a stream. Optionally add a Recording after the event (From the Media Library or Link); once added, the room turns into the recording page. For Automated, pick the Recording from the Media Library and choose Replay after the end: none, 24 hours, 48 hours, 7 days or no limit. During the replay the room shows the recording in the regular player, with pause and seeking. Click Save.

5

Add an offer button (automated webinars)

An automated webinar shows a third row. Change opens Offer during the webinar: choose Show an offer button, pick the Offer (a product and its checkout), type the Button text and set Show from minute, the minute of the recording where you start talking about the offer. Leave it empty to show the button from the start. The button appears under the video, stays for the replay and leads to the checkout of the chosen offer.

6

Test, then publish

For an automated webinar click Test now to open the room with your own test access and watch it the way a registrant will. Then click Publish on the registration page and on the room page.

Good to know

The signup form has a Signup confirmation setting on the Form tab: By e-mail (the signup completes when the visitor clicks the link in the confirmation e-mail) or Instant (the signup applies at once). An on-demand webinar is created with Instant, so the visitor goes straight from the form into the room.

What registrants get

MomentWhat happens
Right after signupDated webinar: the thank-you page. On demand: the room, with the recording playing.
After signupThe confirmation or delivery e-mail with the room link. It is a draft until you activate it.
Before the startReminder e-mails drafted around the event. They are drafts too, until they are scheduled.
In the roomA countdown before the start, then your stream or the recording; with no recording yet the room shows a "coming soon" notice.
After the endAn automated webinar keeps the replay for the time you chose; a live one shows the recording once you add it.

Nothing is sent while the e-mails are drafts. On the Form tab, Activate emails publishes the delivery e-mail and schedules the reminder and replay e-mails at their planned times in one go. E-mails that still contain a [FILL IN] placeholder are skipped and stay drafts; fill them in and run Activate emails again.

Follow the signups

The Funnel tab shows Results: Entries, Signups and the Conversion between them. For the list of people, go back to Pages & Funnels: a page with a signup form shows a tag with its signup count, and clicking the tag opens Signups - [page title]. Tags chosen under Tags on the Form tab are applied to everyone who signs up through the page.

Coming soon

Running a webinar inside a Zanfia live room (a stage with real-time chat) is part of Live rooms, which is not available yet. Until then the How it is run window offers Live and Automated only.
