Merge or delete a client
Combine two records of the same person into one, or remove a client from your list: what moves, what is kept, and what happens to access and subscriptions.
Two tidy-up actions live in the three-dot menu at the top of a client profile. Merge customers turns two records of one person into a single client with all their purchases. Delete customer removes a client from your list. Both are permanent, so each shows you exactly what it will do before you confirm.
Merge two clients
Use a merge when the same person appears twice, typically because they bought with two different email addresses.
Open Merge customers
Open the profile of either record (/customers/<clientId>), click the three-dot menu in the
top-right corner and choose Merge customers. The panel explains: "Grants, orders, and community
memberships move to the surviving customer; the other is permanently removed."
Pick the other record and the one to keep
Under Customer to merge search by name or email and pick the duplicate. Under Which customer to keep? choose Keep this customer or Keep the selected customer; each option shows the email address that will survive. Click Preview merge.
Read the preview
The preview lists the Surviving and the Removed address, the Combined spend, the number of Orders moving, and every Product access with its outcome: Move (the access goes to the surviving client), Keep existing or Keep merged-in (both had the product and one access is kept). It also tells you how many community memberships, posts and comments will move, and which profile fields are kept from the surviving client.
Confirm
Click Merge customers and confirm "Merge these customers? This cannot be undone." You see "Customers merged." and land on the surviving client's profile.
A merge never cancels a subscription
If both records have an active subscription for the same product, the preview shows Merge blocked and the button stays disabled. Cancel one of the two subscriptions first, see Cancel or revoke a subscription, then run the merge again.
Delete a client
Open Delete customer
On the client's profile open the three-dot menu and choose Delete customer. The window asks "Remove [email] from your customers?" and lists the consequences.
Acknowledge what happens
Tick "I understand this removes the customer and revokes their access." The consequences are listed in the table below. If the client has active subscriptions, the button reads Continue and a second step, Cancel active subscriptions, names the products and asks you to tick "I understand these active subscriptions will be canceled."
Delete
Click Delete customer. Access is revoked first, then the client is removed; you see "Customer deleted." and return to the client list. If an access could not be revoked, nothing is deleted and you see "Could not revoke all access - nothing was deleted."
| Item | What happens on delete |
|---|---|
| Product access | Revoked for every product the client holds |
| Active subscriptions | Canceled; billing stops immediately |
| Orders, invoices and purchase history | Kept for your records |
| The client's login account | Not deleted; the client is only removed from your list |
Delete several clients
In the client list tick the rows and click the red Delete in the toolbar, or open Edit selected and choose Delete customers. The window Delete N customers? shows how many active accesses will be revoked, notes that "Their profiles disappear from all product client lists, including 'Archived'", and asks for the same acknowledgements. Clients whose access could not be revoked (for example because a subscription cancellation failed) are skipped and stay ticked, so you can retry or revoke their access first.
Good to know
Deleting is for removing someone from your list altogether. To only take away a product, revoke the access instead: the client stays in the list as a contact, and access can be granted again at any time. The Delete buttons are shown only to team members whose role allows deleting clients.
