Move your audience to Zanfia
Bring your contacts, buyers and mailing list from another platform: import a CSV with tags and product access, keep access dates per product, fill a community, and move a list from MailerLite, ActiveCampaign or Kit.
This guide moves the people you already have on another platform into Zanfia. At the end your contacts are clients in Customers with tags that say where they came from, your past buyers have access to the matching products, the buyers of a product are members of its community, and your mailing list is ready to be written to. Everything here is done by you in the app. The imports in phases 2, 4 and 5 each have a switch that decides whether the imported people get an email.
Before you start you need:
- A Zanfia account and at least one product the imported people should get. A draft is enough to import into; see Launch your first product.
- An export of your contacts from the old platform as a CSV file. Only an
emailcolumn is required. Best is one file per product, with the purchase date and the access end date if access is limited. - For a mailing list in MailerLite, ActiveCampaign or Kit: access to that account, so you can connect it to Zanfia.
1. Prepare your files and products
Decide what each group of people should get in Zanfia, and prepare one CSV per group.
| You have on the old platform | Prepare | Import it in |
|---|---|---|
| Contacts or leads with no purchase | A CSV with email, optionally first name, last name, phone | Phase 2 |
| Buyers with lifetime access | The same CSV, one file per product or bundle | Phase 2 |
| Buyers whose access ends on different dates | A CSV per product with a join date and an access end date column | Phase 4 |
| A mailing list in MailerLite, ActiveCampaign or Kit | Nothing to export; you connect the account | Phase 6 |
Create the products the buyers should get before importing, because the import grants access to products that exist. One import holds up to 10,000 contacts; split a larger file.
Who counts toward your plan
Contacts without product access do not count toward your plan's active-client limit. Contacts who get product access do, exactly like buyers. New contacts above your plan's contacts limit are not imported, and the summary says how many. See Client limits.
2. Import contacts from a CSV
Open Customers → All customers (/customers) and click Import customers. On the Upload CSV tab drop your file on Click or drop a CSV file here. Download a sample CSV gives you a template. The other tabs, Paste and Add manually, take addresses without a file. Click Next.
You should see a summary such as "120 contacts ready to import from [your file]". First name, last name and phone are recognized by themselves. If the file has bad rows, the summary also says how many rows with an invalid email and how many duplicates will be skipped.
Before you start the import:
- Under Tag imported contacts add a tag that says where these people came from, for example
old-platform. You will use it to find them later. - Under Grant access to products pick the product or products these people bought. For each product leave No price - grant access only and choose Lifetime or Until a date, or pick a price to inherit its access period. One Access start date applies to all of them.
- Email the client about access is off by default. Leave it off while you move data, so nobody receives an email before you are ready. Turn it on only when you want the imported people to be told about their access.
Click Import N contacts (with products selected the button also names the grant). The import runs in the background: you can close the window and it finishes on its own. A progress bar counts the imported contacts, and each product gets its own bar under Access grants.
You should see the result "N customers created, N already existed."
In depth: Add, import and export clients.
3. Check the result
Stay in Customers; the list refreshes by itself over the next minute.
- Click Tags next to Filter and tick your tag. Every imported contact is listed with the tag chip.
- Open one client. The tag is on the profile and the granted product is in their access list.
- Running the same file again is safe. The result then reads, for example, "0 customers created, 120 already existed." People who already exist are not duplicated; they still receive the tags and the product access you choose. Use this to add a second tag or a second product to the same people.
In depth: Find and filter clients and Tags and segments.
4. Import buyers with their access dates
The import in phase 2 gives everyone in the file the same access. When buyers of one product joined on different days or their access ends on different days, import them on the product instead.
Open the product, go to its Access tab and click Import clients. The window Import clients to the product asks Choose how to import clients:
| Option | Use it for |
|---|---|
| Add clients manually | A handful of people typed in by hand. |
| Import from another product | Everyone who has another Zanfia product, optionally filtered by price. |
| Import from your customers list | People who are already in Customers, for example the ones imported in phase 2. |
| Import from CSV file | A file from the old platform, with your own column mapping. |
For a CSV, choose Import from CSV file, select the file, and map its columns: Email column, First name column, Last name column, Phone number column and Join date column. On a paid product you also map Access to (the column with the access end date) and choose the Target Price the imported clients are attached to. Click Next, review the rows, and click Import.
Two things to know before you click Import:
- The switch Send imported clients' information about gaining access to product is on by default for a paid product. Turn it off if these people should not get an email yet. With more than 500 selected clients the switch is disabled and the window tells you to notify them from your own email tool.
- A row whose access end date is earlier than the import date is marked Wrong date and skipped.
You should see Importing clients… with a progress bar, then "Import finished". The clients appear on the Access tab.
In depth: Grant access manually for single clients, end-of-access options and changing an access later.
5. Bring buyers into a community
A member of a community is a client with access to the community product, so filling a community is one more import.
Open the community, click the Community editor tile and choose Members list in the left menu. Click Import. The Import members window has five sources: Upload CSV, Paste, Add manually, From customers and From a product.
To bring in the buyers of a course, choose From a product ("Import everyone with active access to another product.") and select the course. On the next step you can set the Role in the community; left empty, everyone is a regular member. Click Import N members. As in phase 2, Email the client about access is off unless you turn it on.
You should see the members appear on the list as the import progresses. Contacts over your plan's limit are skipped and reported at the end.
For future buyers you do not need an import: add the community to the course on its Add-ons & Plans tab and every new buyer gets both. See Plans and prices.
In depth: Manage members and Set up a community.
6. Move your mailing list
Open Integrations → Email marketing (/integrations/email-clients), click Connect on the card of your email tool and add the account. What the connected account offers depends on the tool:
| Your tool | What you can do yourself | Article |
|---|---|---|
| MailerLite | Migration: a three-step window (Overview, Selection, Run) that moves active subscribers, groups and segments as tags, and sent campaigns. | Move from MailerLite |
| ActiveCampaign, Kit | Import audience copies the active contacts of the lists you choose, with tags. Import campaigns brings in sent campaigns as drafts. | Import from ActiveCampaign or Kit |
| Any other tool | Export your subscribers to a CSV there and import the file as in phase 2, with a tag for the list. | Add, import and export clients |
These imports run in the background. Click the bell at the top and open the Tasks tab to follow them and read the result.
What to expect:
- Only active contacts are brought in; unsubscribed contacts are skipped. A client who is already Unsubscribed in Zanfia stays unsubscribed.
- Contacts imported from MailerLite, ActiveCampaign or Kit arrive with the status Subscribed.
- Automations and forms are not moved. Rebuild them as workflows and signup forms.
- Running an import again is safe: people, tags and campaigns that already exist are not duplicated.
- Importing sent campaigns creates email campaigns, which are available on Growth and above.
7. Record consent and get ready to send
The CSV import from phase 2 does not subscribe anyone to marketing emails. If the people in the file agreed to receive your emails on the old platform, record it:
- In Customers filter by your import tag.
- Click Bulk actions for all N next to the total (or tick rows and use Edit selected (N)).
- Choose Subscribe to marketing emails and answer Why can you email them? with Imported from another mailing list. The reason is saved on every client.
Then set up the address your campaigns come from: Your site → Settings → Domains (/site/address), section Your sending domain. Your own sending domain is part of email campaigns, on Growth and above.
In depth: Bulk actions on clients, Subscribers, unsubscribes and blocked addresses and Send from your own domain.
What does not move
| From the old platform | In Zanfia |
|---|---|
| Running subscriptions and saved cards | Not imported by any of the imports above. They grant access; they do not take over billing. |
| Course lessons and videos | Build the course in Zanfia: Build a course. |
| Members of a Discord or Circle community | Not imported. Those integrations give your Zanfia clients access on the other side; see Connect Discord, Circle or GitHub. |
| Automations and forms of your email tool | Rebuilt by hand as workflows and signup forms. |
Coming soon
Importing an existing Stripe catalog and existing Stripe subscriptions into Zanfia is not open to everyone yet.
Where to go next
- Send an email campaign: write to the list you just moved.
- Build a workflow: rebuild your welcome and follow-up sequences.
- Set up a subscription price: let imported members continue on a paid plan.
- Take your first sale: connect a payment gateway and sell to your audience.
